Check eligibility before collecting documents

Start with the provider’s supported business types, countries, activities and address requirements. A provider may have a different approach from another bank even when both serve LLCs. Confirm who must apply and whether a founder’s location or activity affects eligibility. Paid preparation should help organize truthful information; it cannot require a provider to approve a company or bypass its verification process.

Match the company identity across records

Use the exact legal name and current ownership details reflected in the accepted formation and governing documents. Keep EIN confirmation available when the provider requests it. Explain legitimate differences, such as a separate trading name, instead of silently using inconsistent names. A registered-agent address, mailing address and actual operating address can serve different purposes; provide the type of address the application actually asks for.

Describe a real business clearly

Prepare a concise explanation of products or services, customers, sales channels, expected transactions and the countries involved. Supporting contracts, invoices or a working website may help explain the activity when requested. Do not invent revenue, customers, offices or operational history to make a new company appear established. A new business can describe a genuine plan and the current stage of its operations accurately.

Use resolutions only when appropriate

Some institutions ask for evidence that an applicant can act for the company. Our free banking-resolution tool can prepare a general internal draft, but the institution may require its own form or additional approvals. Check the operating agreement and actual approval process. An authorized account representative is not automatically an owner, and ordinary deposit-account authority should not be stretched into authority to borrow or guarantee debts.

Keep access and follow-up under client control

The client should retain control of login details, verification steps and provider communications. Agree what assistance includes and which requests may require additional work. Save the provider’s actual decision and accepted account terms. After opening, changes in ownership, signatories or activity may require updates; a successful initial application does not remove the obligation to maintain accurate provider records.

Your action checklist

  • Check the provider’s eligibility rules
  • Match company and owner information
  • Prepare an honest business description
  • Confirm authorized applicants
  • Keep credentials and verification under your control
