
Check what was actually approved
Start by reviewing the accepted state document and exact company name. Save the official record, formation date and filing reference in a company folder. A service order confirmation is not necessarily state acceptance, and acceptance does not mean every later task is complete. Make a simple status list with three headings: completed, waiting for an authority or provider, and still to arrange.
Put internal governance in order
An operating agreement records the company’s internal arrangements. Its scope should match the real ownership and management structure. A general single-member form can provide a starting point for a simple company, while multiple owners or special rights need tailored review. Keep signed versions, member records and actual decisions together. A free ownership register records existing interests; it does not replace an agreement that validly creates or transfers them.
Track the EIN and financial onboarding separately
Retain the EIN notice when issued and compare the company details with the formation record. Then review a bank or payment provider’s current eligibility and document requests. Company formation and an EIN do not guarantee approval. Prepare an accurate description of products, customers, locations and expected activity. Keep sensitive identification and account information out of a general quote and use the provider’s approved submission process.
Set up records before transactions accumulate
Choose how to retain invoices, receipts, contracts and evidence of money moving between owners and the company. Distinguish contributions, loans, expenses and distributions with appropriate advice where needed. The goal is a traceable record, not simply a pile of PDFs. Keep company and personal activity appropriately separate and provide reliable information to whoever handles bookkeeping and tax work.
Assign ongoing responsibilities
List state reports, agent renewals, address and phone renewals, tax-related tasks and any industry or local requirements that apply to your facts. Use actual deadlines confirmed from the relevant authority or provider. Decide who receives notices and who acts on them. If you add an owner, change a business location or start a new activity, revisit the checklist instead of assuming the original setup covers the change.
